Responsibilities include:
Administer the Naverus Document Management System to provide document
control for Naverus technical library and operational documents. Update
Naverus operational and technical manuals in accordance with established
criteria and processes. Catalog a diverse range of documents using
standard library cataloging methodologies and procedures. Includes
assigning document numbers, checking for format consistency, converting
to approved formats, completing document metadata, and tracking approvals
and review dates. Administer electronic versions of the software tools
used in the procedure design process. Establish and maintain Document
Management System filing structure and document access and control
rules. Lead establishing and maintaining Naverus Document management
standards including standard document
management templates and data lists, naming conventions, retention
cycles, access, and control. Train and support users of the Document
Management System and assist Naverus subject-matter specialists with
the drafting of procedural text for publication in the company operations
manuals. Facilitate resolution of issues regarding process, especially
in the areas of standardization and consistency.
Monitor compliance to process guidelines as required for audit compliance
and certifications. Monitor the overall performance of the Document
Management System
Assist the IT Manager in managing electronic file access, backup,
recovery, and security. Establish and maintain Windows File System
filing structure and document access and control rules. Collaborate
with the staff to develop coordinated solutions for the management
of non-operational documents and records.
Specific Accountabilities
Maintain a database in the Controlled Document Register all current
manual holders.
Maintain the Forms Register(as a records database) to identify and
version control all operational forms generated or used by Naverus.
Qualifications
Preferable Qualifications & Experience
Bachelor's degree in Library Science, Business, Computer Science,
or related discipline or equivalent experience required.
Knowledge of information management concepts and methodologies and
standard library cataloging tools and procedures for both electronic
and hard-copy documents.
Knowledge of standard desktop applications including Microsoft Office
and Adobe Acrobat with a strong proficiency in the use of spreadsheets
and database applications.
Experience with Lotus Notes preferable.
3+ years of document management related experience.
Experience with Windows Server 2003 administrative functions.
Experience documenting system procedures and business process flows
in an
understandable format.
Outstanding organizational, prioritization, and administrative skills.
Work well with people at all levels in the organization, and train
system users in a friendly, open manner.
Strong written and verbal communication skills to interface with internal
and external customers.
Perform quality work efficiently and with minimal supervision.
